LOTO in practice – How to manage the digitalization of work permits and OSH in 5 steps?

In collaboration with a customer from the chemical industry, we designed and implemented the digitalization of the entire process of issuing and managing work permits.

The solution aims to simplify and streamline maintenance processes, increase safety, and ensure complete recording of all steps.

One of the key components of the system is the LOTO (Lockout/Tagout) process – a procedure that ensures the safe performance of work in a work environment. However, in our solution, it is only one part of a comprehensive permit to work management system.

How the system works

1. Definition of work permits

Before the work begins, the system automatically evaluates whether a permit is required. The responsible person determines its type – for example, for work in confined spaces, hot work or other specific activities.
The form dynamically adapts to the selected permit type so that users enter only relevant data – implementation date, responsible persons, risks or control activities. The system allows issuing permits for internal and external workers and coordinating multiple permits within a single contract so that their validity does not overlap.

2. Approval

Once the permit is completed, the approval process is automatically initiated according to pre-set authorization matrices (e.g., OHS, production, maintenance). All parties involved always have an up-to-date overview of the process status.

3. Workplace security (LOTO)

If the work requires LOTO-based security, the system automatically adds the necessary security procedures. The user confirms the security with an electronic signature. Each change in the security status is recorded, including the person and time of execution.

4. Execution of work

Once approved and secured, the worker can take over the order and carry out the work. Once completed, the workplace is handed over to the operator, with the system recording all changes in the status of permits, security and the order.

5. Approval of work performance

Finally, the stakeholders review and approve the entire process, including costs. Upon successful approval, the system automatically updates the order status and closes the permit.
